How to Add a Surgery Case to Your Outlook Calendar via Web/VS

Web/VS allows you to add surgery cases to your Outlook Calendar directly from the OR Schedule. The details of the case, which includes location, date, time, case number, procedure, anesthesia type, surgeon and anesthesiologist, will display in your calendar at the appropriate time on the date of the procedure. This is particularly handy if you have a Blackberry or Goodlink handheld device that is synchronized to your Outlook Calendar.

The procedure for adding a surgery case to your Outlook Calendar is as follows:

  1. Log into Web/VS and select a patient in the usual way;
  2. Locate the OR Schedule menus in the left-hand blue navigation bar, pick a specific room (if you wish) or leave the room menu at "All Rooms" or "My Cases." Select the date for the cases that you wish to view, and then click the Go button to the right of the room list;
  3. Scroll through the schedule displayed in the right-hand part of the Web/VS window to find the desired case, and then click the "Add" hotlink in the rightmost column for that case;
  4. A pop-up prompt may display asking you whether you want to open a file in Outlook. If this happens, click "Open" or "OK" and be sure to turn on the checkbox for "Do this automatically for files like this from now on;"
  5. When the appointment window appears, modify or add any information about the case that you wish, then click the "Save and Close" button in the toolbar to add the case to your Outlook Calendar. Note that the "Private" flag is set automatically.
